Simplified key borrowing and returning

Make using your KeyConductor key cabinet even easier

In some situations, users need to quickly and easily take and return a key. Without many steps or explanations.

With simplified borrowing and returning, using the KeyConductor key cabinet becomes easier. Users perform fewer actions at the cabinet, making the system accessible to a wide range of users.

When is simplified borrowing and returning useful?

This feature is especially useful when ease of use for the user is the priority. For example when:

  • the cabinet is used by a wide range of users
  • users have limited experience with digital systems
  • borrowing and returning needs to be quick and straightforward

How does simplified borrowing work?

Normally, a user first authenticates at the cabinet, for example with a card or PIN code. After that, the user selects a specific key. With simplified borrowing, this step is no longer required. The user authenticates at the cabinet and the system immediately releases a key from the start screen. The user simply takes the key and closes the cabinet door. The benefits are:

✅ Fewer actions for users
✅ Faster key collection
✅ Easy and accessible use of the key cabinet

How does simplified returning work?

Returning a key is just as simple. The user does not need to authenticate at the cabinet. They simply scan the barcode on the KeyCop. The KeyCop is the special key tag that holds the key. The cabinet then opens automatically and the key can be returned. Because the user does not authenticate, the return is registered anonymously in the log.

When should you not use this feature?

Do you have different types of keys in one cabinet? For example for bicycles, mobility scooters or other vehicles. In that case, simplified borrowing may not work well. The cabinet automatically releases the next available key. This means a user could receive the key for the wrong vehicle. In this situation, it is better for users to first select the correct key type.

Practical example: Municipality of Helmond

This feature was developed in cooperation with the Dutch Municipality of Helmond. Residents use a KeyConductor key cabinet to automatically issue keys for mobility scooters. Many users are elderly, so the process needed to be as simple as possible.

Also simplify issuing and returning equipment

Simplified borrowing and returning is not only for keys. You can also use this feature with the electronic locker CapLocker. This allows you to make issuing and returning equipment such as laptops or other devices just as easy. Users need to perform fewer actions at the locker, making the process faster and more user-friendly, for example in educational environments or workplaces.
